3 Categories of Personal Data, Purposes and Legal Basis of Data Processing

In the course of your visit, we process the following personal data or categories of personal data from you in order to safeguard our householder’s right and protect our economic interests:

  • Master and contact data (e.g. name, (company) address, e-mail);
  • If applicable, organizational master data (e.g. company, function, division/department);
  • Visitor-related information (e.g. visiting period, number of visitor's pass, purpose of visit).

These data are either collected directly from you at our reception desk or is stored in our system in advance of your visit by your contact person. You are neither legally nor contractually obliged to provide the data. However, if you do not provide us with the data, we will not be able to have you visit our company premises for security reasons. If you are obliged to enter our company premises due to contractual agreements with third parties (e.g. with your employer), you may possibly suffer disadvantages in this respect.

The legal basis for this is Art. 6 (1) (b) GDPR, insofar as the data are required in the context of or for the initiation of contractual relationships.
Apart from that, we process the data on the basis of Art. 6 (1) (f) GDPR in order to safeguard our legitimate interests. Our legitimate interests in this regard are to handle your visit in an efficient and secure manner, to protect our economic interests, to exercise our householder’s right, as well as to assert, exercise or defend of any legal claims in connection with the aforementioned purposes.

4 Duration of Storage

We generally store your data for as long as they are required for the respective purposes, in particular the contractual relationship or the handling of your visit, including the assertion, exercise or defence of any legal claims within the statutory limitation periods. Insofar as we are subject to commercial or tax retention obligations with regard to the data, we may be required to store the data for a period of up to 10 years.

5 Recipients/Categories of Recipients

Within our company, we only pass on your data to those persons and departments that require this data for the proper fulfilment of the aforementioned processing purposes.

If and insofar as this is necessary for the specific processing purposes and is legally permitted or required by law, we may pass on or disclose your data to third parties, for example police or law enforcement agencies.

For some processing we make use of the assistance of specialised service providers. For example, these service providers render IT services (e.g. mail services and server provision). We ensure through appropriate contractual provisions that the data processing is carried out in a permissible manner.

We process data exclusively in computer centres within the European Union. There is no transfer to a third country or an international organisation.

6 Rights as Data Subject

In accordance with Articles 15 et seq. GDPR, under the conditions defined therein, you have the right to information about the personal data concerning you and to correction or deletion or restriction of processing, a right of objection to processing as well as the right to data portability.

You have the right to complain to a data protection supervisory authority about the processing of personal data by us if you are of the opinion that the processing of the data concerning you violates the GDPR.

If the processing is based on your consent, you also have the right to revoke the consent at any time, without affecting the legality of the processing which took place on the basis of the consent up to the revocation. However, we may need to retain certain data to comply with legal requirements or to pursue legal action (see Section 4).
